Guidelines for paper presenters
1. All paper presentations will be allocated within a thematic panel or special workshop. We have allocated 10 minutes for each presentation in panels of 5 papers, 15 minutes in panels of 4 papers and 20 minutes in panels of 3 papers. All special workshops or thematic panels will last 1 hour and 30 minutes. This means that there will be time for discussion/questions after the presentations. It is also possible that the panel chair may decide to allocate time for intermittent discussion/Q&A after each paper.
2. If you wish to use visuals, please prepare your presentation in PowerPoint or PDF format. If you are using online clips/materials, make sure you test them before the panel starts.
3. You can bring your presentation on a USB stick, as a desktop will be connected to the audiovisual system in each conference room. There is no time to connect and disconnect personal laptops for each presentation as this may cause technical difficulties.
4. We recommend that you arrive in your conference room 10-15 minutes before the start of your panel to ensure that everything is set up correctly.
Guidelines for special workshop organisers and/or panel chairs
1. We have allocated 10 minutes for each presentation in special workshops or thematic panels with 5 papers, 15 minutes in panels with 4 papers and 20 minutes in panels with 3 papers. All special workshops or thematic panels last 1 hour and 30 minutes. Please ensure that the time is properly managed so that each presenter has an equal opportunity to present and receive feedback.
After the paper presentations, there will be time for discussion/Q&A. If you wish to have a Q&A directly after each paper, this is also fine - make sure you communicate this to the paper presenters.
2. Presenters can bring along their presentations on a USB-key (in PowerPoint or pdf format), as a desktop is connected to the audiovisual system in each conference room. Alternatively, they can send you the presentation as special workshop organiser, so that you may download it onto the room's desktop or your personal device. We prefer you don't use a personal laptop, as this may cause technical difficulties. That said, you may choose to do so. If you do, please decide in advance and arrive at the room 20 minutes in advance. Make sure you have the presentations backed-up on a USB key just in case. Also, if you are using a Mac, please make sure you bring along an adapter (all rooms are fitted with regular HDMI cables).
3. If you come with everything ready on a USB-key, please come to the conference room 10-15 minutes before the start of the panel to ensure all can be set up correctly.
*As many universities use two-step verification protocols, make sure you're not blocked from your email and get stuck without a download.
